Calendar manual
Show in overview:
Determines whether the activity is shown on information screens for instance at the reception or entrance.
Resource:
The chosen resource/room is selected. If you want to book the activity in multiple rooms, click “More” and check the relevant rooms.
Start and end:
Determines the start- and end time of the activity.
Days:
Specifies which days the activity is valid. All days are selected by default, but the activity will always be limited by the start- and end dates.
This means that if you book an appointment on a single day, e.g. 2014-08-01 10:00 to 2014-08-01 14:00 (Friday), then you don’t have to uncheck the other days, as the activity will be limited to Friday.
This is useful if you need to book an appointment for 14 days, but the appointment isn’t valid for Saturday and Sunday. Then you can select the start date and an end date 14 days later, but by unchecking Saturday and Sunday, the appointment is now only valid for the weekdays in that 14 days period.
If multiple days: Only show from start time to end time:
This is useful if an appointment is valid in a specific time interval during multiple days.
For instance: You create an activity from Monday 2014-08-04 20:00 to Friday 2014-08-08 22:00. If you check “If multiple days: Only show from start time to end time”, the activity will only be shown on the info screen in the following periods: Monday 20:00 to 22:00, Tuesday 20:00 to 22:00, Wednesday 20:00 to 22:00, Thursday 20:00 to 22:00 and Friday 20:00 to 22:00. The activity will not be shown at other time, e.g. before Monday 20:00 or after Monday 22:00.
Repeat:
You can set an activity to repeat with a specific interval: daily, weekly, every 14 days, monthly and yearly. When you choose to repeat you also have to specify for how long the activity is repeated - up to one year (except for yearly repeat).
Examples of using repeat:
Having an activity every Tuesday shown on the info screen all day. Create a new activity, specify Tuesday at 16:00 as start time and Tuesday at 18:00 as end time, check repeat weekly and choose for how long time the activity should be repeated.
How to creating a birthday calendar: Create an activity on the birthday of each person and check repeat yearly for 10 years
Examples of using repeat which won’t work:
You want to create an activity every Tuesday and Thursday and repeat it weekly. Choose Tuesday as start date and Thursday as end date, uncheck Wednesday and check repeat weekly. The system does not know how to process this combination. The correct way of creating such an activity is to create two different activities, one for Tuesdays and one for Thursdays.
Subject:
Specify a subject that describes your activity.
Description:
You can optionally add a description to your activity. This description will not be used on any default information screen template, but is used by meeting room screens.
Logo:
You can add a logo or an image to your activity. This logo will not be used in any information templates for the calendar, but is used by meeting room screens.
